With the tenure of our Alumnae Manager Ms Angela Lee drawing to a close by 31 August 2025, we are now arranging for the election of one Alumnae Manager for the tenure 1 September 2025 to 31 August 2027 who will sit in meetings of The Incorporated Management Committee (the “IMC”) of Sacred Heart Canossian College (“SHCC” or “the School”), manage the School and promote education. Nominations for the Alumnae Manager can be made from 7 May to 20 May 2025 (both days inclusive). The procedures and details are below:
Responsibility of an Alumnae Manager
To sit in meetings of The Incorporated Management Committee of Sacred
Heart Canossian College manage the School and promote education.
Number of Alumnae Managers
The number of Alumnae
Mangers shall be one.
Tenure of an Alumnae Manager
The term of office of an Alumnae Manager shall be two years, from 1 September 2025 to 31 August 2027, both days inclusive.
Eligibility of candidates
§ She must be an alumna of
SHCC. Any person who has attended the School is an alumna.
§ She should not be a
serving teacher of SHCC nor be currently serving on the
IMC of SHCC in another capacity or participating in another election under
other categories of school manager.
§ She should not be in any
condition that the Permanent Secretary for Education may refuse to register as
a school manager as set out in section 30 of the Education Ordinance (Cap.279).
§ Note: according to clause
20(b) of the SHCC Alumnae Association
(“SHCCAA”) Constitution, an Alumnae Manager may serve two
consecutive terms, after which she may be re-nominated after the lapse of one
school year.
How to nominate
§ Every ordinary member
can nominate one (1) alumna including the nominator herself. Each nominee must be seconded by at least two
(2) other ordinary members.
§ Each nomination must be
made by completing the attached nomination form and accompanied with the
following supporting documents (“Supporting Documents”):
(i)
A
brief statement from the nominee of her personal information to support the
nomination;
(ii)
A
declaration by the nominee of her eligibility for the candidacy of Alumnae Manager
as outlined above; and
(iii)
Document(s)
annexed to the said declaration showing the nominee an alumna of SHCC, for
example, graduation certificate, student identification card of SHCC, or school report
card.
§ The
completed nomination form together with the Supporting Documents shall be hand-delivered
in hard copy to the School Office on or before 4 pm, 20 May 2025 (Tuesday). Acknowledgement receipt will
be provided upon submission.
Nomination period
§ The nomination period is from 7 May – 20 May 2025 (both
days inclusive).
§ If at the end of this 14-day nomination period there is no nominee, the
nomination period shall be extended for 7 days. The last day of the extended nomination period will
be 27 May 2025 (inclusive). In such a case, requisite
notice would be given on the SHCCAA website.
§ If at the end of the extended nomination period, there is no nominee for
Alumnae Manager, the IMC may nominate an alumna for registration as Alumnae
Manager as may be provided in its constitution.
§ Results of the nominations with candidate(s)’
information would be posted on the SHCCAA website:
· on 10 June 2025, if voting takes place on 17 June 2025; or
· on 17 June 2025, if voting takes place on 24 June 2025.
If there is only one nominee, the candidate
information will be posted on the SHCCAA website upon the announcement of appointment
of the Alumnae Manager. (See section “Announcement of results” below.)
Eligibility of voter
Every ordinary member who has attained the
age of 18 or above is eligible to vote, and every vote shall carry equal
weight.
Date of voting
§
Subject
to the number of nominations made within the nomination period, voting
(referred to as “the election”) would be held between 6-7pm, 17 June 2025 (Tuesday) at Sacred Heart Canossian College, 2 Chi Fu Close, Pokfulam, Hong Kong.
§
If the nomination period is
extended and there is/are nominee(s) for Alumnae
Manager, the election would be postponed to be held between 6-7pm, 24
June 2025 (Tuesday).
§
Where, however, only one
nomination is made at the end of the nomination period, that nominee shall
automatically be elected at the end of the nomination period and no voting
shall be required
and thus no election would be held. In
this connection, notice would be given in due course whether voting shall be
required.
Counting of votes
Where election is required, the counting of votes would be conducted on the
same day and may be witnessed by any member of the SHCCAA,
any candidate, principal and supervisor of SHCC. The candidate with the highest number
of votes shall fill the Alumnae Manager vacancy.
Announcement of results
The election results will be announced on the SHCCAA website on the same day as the election day, after the voting and counting of votes are completed.
If only one
nomination is received by the end of the nomination period, the result, together
with the candidate information, will be announced on the day following the last
day of the nomination period.
Appeal mechanism
Unsuccessful candidate may, within one week of the voting
day, appeal to the SHCCAA in writing with reasons. The Executive Committee of
the SHCCAA shall form a sub-committee or working group to hear the appeal. The
sub-committee or working group shall make a recommendation to the Executive
Committee. The decision of the Executive Committee on the appeal shall be
final.
